Assumptions

1. Once a Quote or Estimate is accepted, a detailed Statement of Work may be prepared and mutually agreed, following workshops to gather requirements (discovery sessions). 

2. Pricing for Data Migration is based on the volume and complexity of your current data. Please note the following regarding our pricing structure:

1. Definition of a Record: For the purposes of this quote, a 'record' is defined as any single data entry migrated to the new system. This includes, but is not limited to, individual contacts, donations, emails, and tasks.

2. Data Cleanliness: This estimate assumes the provided data is accurate, formatted, and ready for migration. We recommend 'cleaning' your data (removing duplicates, correcting errors, and standardizing formats) prior to the move. If your data requires extensive cleaning, you may need to engage a third-party data cleansing service.

3. Price Variation: The final price may vary by as much as 30% depending on the total number of records, the number of migration sources, and the quality of the source data provided.

3. Any pricing and/or information about discounts from third party software vendors serve only as a guide and are subject to change. It is your responsibility to establish commercial terms with software vendors directly. Blaze Your Trail does not receive any incentives or commissions from third party software vendors.

4. Parties will exchange Mutual Non Disclosure Agreements.

5. Upon signing the Statement of Work, you will have purchased all necessary licenses.

6. You will assign an internal project manager (executive sponsor) and/or single point of contact for the duration of the project.

7. You will provide timely feedback (recommend weekly reviews) throughout the project to ensure we are able to stick to timelines and achieve milestones as expected.

8. Any requirements that are not explicitly stated in the Statement of Work will require a change request in order to bring them into the scope of the project.

9. This project does not include any maintenance or Business as Usual tasks. Ongoing support can be discussed separately. 

10. Blaze Your Trail recommends use a Password Manager to securely share login credentials between parties. Wherever possible we will use unique logins with Multi Factor Authentication. 

11. Blaze Your Trail will adhere to the Fundraising Institute of Australia’s Code of Conduct at all times.

12. Blaze Your Trail is committed to the Salesforce Values of Equality, Trust, Sustainability and Customer Success so we will focus on your customer and their happiness as much as we focus on your internal users.
    

Our engagement process

Our engagement process is structured to ensure complete alignment and budget certainty before major work begins:

1. Initial Quote Acceptance: Your acceptance of this quote signals an agreement to proceed with the preliminary phase of the project.

2. Discovery: Following quote acceptance, we will conduct a comprehensive Discovery phase. This allows us to audit your existing data landscape (including record counts and cleanliness) and map out specific requirements.

3. Statement of Work (SOW): Upon completion of Discovery, we will provide a detailed Statement of Work. This SOW serves as our final, formal agreement, detailing the exact scope, timelines, and deliverables.

4. Fixed Price Commitment: We are committed to working within a fixed-price budget if required. Once the SOW is signed, the price for the defined scope is fixed, providing you with total budget certainty for the remainder of the project.

Non-Solicitation and Placement Fee

You agree not to directly or indirectly solicit, employ, or contract any Blaze Your Trail personnel during the term of the engagement and for 12 months thereafter. If such a person is hired or engaged by your organisation, a placement fee equal to 25% of the individual’s total first-year remuneration (including salary, bonuses, and benefits) will be payable to Blaze Your Trail within 14 days of the commencement date.

Payment Terms & Conditions

1. Payment Terms - For Ad Hoc engagements, strictly 7 days in advance.

2. Payment Terms - For Projects lasting more than 4 weeks - 50% total investment is due upon commencement of the project. The remainder will be payable in two payments: 25% at the agreed midpoint and 25% at the agreed end date as per the SOW.

3. Payment Terms - For Partnerships - 3 months in advance, monthly thereafter. 
   

4. All pricing is exclusive of GST and stated in Australian dollars.

5. Terms are subject to resource availability and review at Blaze Your Trail’s discretion.

6. Our staff observe Victorian Public Holidays.
