Challenge
NurturedTX was using a spreadsheet-based data tracking system with limited security, which was manual, time-consuming and error-prone, with responsibilities split across users. Without a central database they were unable to link or track progress across their provider and client programs. They wanted to be able to track their impact, as well as improve data security, and streamline communications with workflows.
Solution
Blaze Your Trail assisted NurturedTX to become first-time Salesforce users, setting up the necessary branding, themes, privileges and permissions needed to manage a CRM securely and confidently.
Zapier was implemented to automate the data transfer from Google Forms to Salesforce Leads. A Salesforce 'Approval Process' was built to track approvals of converted leads and automatically generate notifications and task assignments. A daily workflow was built to automatically send yearly subscription renewal reminders to therapists.
Salesforce Cases are now used to track program applications. Screen flows were built to guide users through the data entry of applications, eligibility screening and therapist assignment. Individual therapy sessions and reimbursements are tracked against a Case via a Custom Object. Salesforce Surveys were implemented to gather feedback from service users, and to track program effectiveness.

Through automated data transfers, screen flows and the use of native Salesforce functionality, such as Approval Processes and Surveys, time-consuming manual processes were eliminated or streamlined, and data quality and consistency significantly improved.
Communication
Utilising Approval Processes, tasks and reports provides an environment that enables better tracking and communication between users with split responsibilities. Embedded email templates and survey functionality ensures communications with external stakeholders is consistent, timely and ongoing.
