Challenges


The three challenges Outback Futures faced were;
1. A Salesforce instance that was poorly configured following implementation by a non-certified individual, resulting in incorrect and confusing settings.
2. The team struggled to consolidate data from various sources, including Raisely, Stripe, Square and Xero, making it difficult to reconcile income and attribute it to specific campaigns.
3. There was no centralised source of truth for donor and stakeholder data, hindering effective communication and a comprehensive understanding of donor history and relationships.


Solution


Blaze Your Trail:
• Undertook a comprehensive overhaul of Outback Futures Salesforce system. This included reviewing and updating NPSP settings and Page Layouts, and implementing an Apex class (a templated approach) to standardise phone number formatting.
• Integrated Raisely with Salesforce using MoveData, established a new Xero integration for automated invoice creation, and connected Salesforce to grants database GEM Portal for streamlined grant opportunity management.
• Implemented two Web-to-Lead forms to capture contact information directly from the Outback Futures website for general enquiries and community fundraising applications. This enabled a new community fundraising process and pipeline management inside Salesforce.


Benefits


This project delivered three significant benefits to Outback Futures:

1. It provided a centralised source of truth for all donor and stakeholder data, enabling effective and streamlined communications.
2. The Xero integration automated invoice creation for Opportunities (potential/in progress sales/transactions), reducing the administrative burden for the finance team
3. The integration of Raisely and GEM Portal enhanced fundraising capabilities by streamlining online donations and grant application processes, whilst providing valuable insights into donor behaviour and revenue streams through comprehensive dashboards.
